Registers and puppy transfers
This page brings together the kennel's obligations: the registers to show in case of an inspection, the documents required when a puppy leaves, handing its health record over to the buyer and the record you keep once the animal has gone.
The legal registers
Open the side menu, Organization section, then Registers and obligations. Two registers are built automatically there from what you already enter in the app:
Health monitoring register
One line per procedure: vaccines, dewormers, parasite treatments, treatments, surgeries, illnesses and vet visits. Visits by the official veterinarian appear in the header.
Entry and exit register
One line per movement: births in the kennel, arrivals, sales or gifts (with the buyer) and deaths.
- Choose the Period: one year, or Since the beginning.
- Check the number of Lines and any incomplete lines (for example a puppy without a microchip or an exit without a buyer). Tap an incomplete line to open the animal's profile and correct it.
- Tap Generate PDF, then choose Open only or Open and keep. The Word button produces an editable version, which is never kept.
Nothing is entered in the registers themselves: anything missing is corrected on the animal's profile. Line numbers stay the same from one generation to the next. Kept PDFs appear under Kept registers; deleting one loses nothing, as the register can be rebuilt at any time.
Kennel documents
The Kennel documents block shows the status of your ACACED (valid, expires in N days, expired). SIRET, ACACED, activity declaration and official veterinarian fill in the header of your registers: the Complete my legal information button opens the relevant Settings. Administrators receive a reminder before the ACACED expires.
A puppy's departure checklist
Before a dog or a cat leaves, the law requires several documents. The app checks them for you, puppy by puppy.
- From the litter: tap a young one's Ready to leave badge (or "N missing"), or its Checklist button.
- From the animal's profile: Breeder block, Departure section.
| Item | How to complete it |
|---|---|
| Identification (microchip) | Enter the microchip opens the animal's profile. |
| At least 8 weeks old at departure | Calculated from the date of birth; the date from which the puppy can leave is shown. |
| Transfer certificate / sale contract | Generate opens the young one's sale contract, pre-filled from the reservation. It serves as the transfer certificate. |
| Animal information document | Generate creates the document per species, and per breed when a breed sheet exists. You can add your Recommendations of the kennel (optional). |
| Veterinary certificate (less than 7 days old) | Add the certificate: choose the photo or PDF provided by your vet and enter its date. |
| Primary vaccination entered | Record the vaccine opens the animal's vaccines (see Vaccines). |
| LOF birth declaration made | For a LOF litter: Open Litter to enter the declaration (see Heats and breeding). |
The generated documents are stored in the animal's documents. When everything is complete, the checklist shows Ready to leave. Generating contracts and the information document as PDF is included in the paid plans.
Handing the health record over to the buyer
The handover transfers the puppy's health record, with its full history (weight, vaccines, documents), to the buyer's app. They do not need to have an account already: they create one in a single screen.
- From the checklist, tap Hand over the record (green if everything is complete, orange otherwise). You can also go through Adoption / Sale then Hand over to the new owner and choose No — hand over the record by email, or through the profile's … menu, Owner entry, then Hand over the record to the buyer.
- Enter the First name, Last name, Email (mandatory) and Phone number; the reservation details are reused when there is one.
- If you wish, add A word for the family, included in the email.
- Tap Send the record.
If the checklist is incomplete, the app lists what is missing. You can choose Hand over anyway if the papers exist outside the app: the missing items are then logged.
Following the handover
- The puppy's profile shows a banner "Record sent to … — pending", then "Record handed over to …" once it has been collected.
- The buyer has 30 days to collect the record; an automatic reminder is sent to them once if they have not done so.
- As long as the handover has not been accepted: Resend (new link), Change the email or Cancel. The old link then stops working.
- After acceptance, the puppy stays in the litter and you keep read access to the health record. The buyer can remove this access at any time from their shares.
On the buyer's side, the animal's profile shows which kennel it was born in. See also Sharing an animal.
Departure records
When an animal leaves the kennel, it belongs to its new owner and is no longer in your list. The app keeps a departure record for you, created as soon as the record handover is sent (it is deleted if you cancel the handover before it is accepted).
- Tap Animals in the button bar.
- Open the … menu in the action bar, then Departed animals.
- Filter by year (All years) or by type of departure (Sold, Transferred, Dead…), or search for an animal or an owner.
The Departure record keeps the essentials frozen at the time of departure: identity, photo, microchip, arrival and departure dates, new owner, as well as the Contracts and documents, the Invoices (for members who have access to accounting) and the Agenda during the stay. As long as the new owner shares it with you, See the full record opens the live profile.
Multi-activity organisations: where animals belong
If your organisation runs several activities (for example breeding and boarding), each animal belongs to one activity. The animal list then offers a filter by activity (Breeder, Boarding, Refuge, All) and a badge on each animal.
To reclassify an animal, open the edit form of its profile and change This animal belongs to. Only animals belonging to the kennel can be parents of a litter. For an organisation with a single activity, nothing changes.
Frequently asked questions
The buyer has not received the email.
Check the address in the banner on the profile, correct it with Change the email or tap Resend.
I am giving a retired breeding animal to a family: can I use the handover?
Yes, the health record handover works for any animal in the kennel, not just for a puppy.
