Animal documents and health record

Store your animal's important papers online (certificates, prescriptions, reports, LOF declarations…) so you can find them at any time from your phone. This page also explains how to hand the animal and its whole health record over to a new owner.

Getting to documents

  1. Open the animal's profile (see The animal profile).
  2. In the Documents block, tap Documents. The row shows the number of documents already saved.

The page has three blocks:

Documents

The files you have added yourself for this animal.

Latest vet reports

The reports of vet appointments entered in the calendar, with their attached files. Tap one to open it.

Linked documents

Documents attached to calendar appointments, reports and events concerning this animal, for viewing.

Adding a document

  1. Tap Document in the action bar (or Add in the Documents block).
  2. Take a photo or choose a file: an image or a PDF.
  3. The document appears in the list. Tap its name to rename it ("Vaccination certificate", "LOF declaration"…): the change is saved as you type.

An icon distinguishes PDFs from images. Tap the eye to view a document, the bin to delete it (after confirmation).

Tip: give each document a clear name: that is the name shown in the list. For a prescription, also remember to import it into a treatment so you get dose reminders (see Treatments and prescriptions).

Shelter PDF sheets

In the Shelter app, the … menu on the Documents page generates the animal's profile as a PDF, in a Public version (to share with adopters) or an Internal one (for the team).

Who can see the documents?

  • The people the animal is shared with can see its documents. Only those allowed to edit the animal can add, rename or delete them. See Sharing an animal.
  • In a professional space, access follows each member's rights over animals. See Members and permissions.
  • In a boarding facility, the vet reports of an animal in your care are only visible during its current stay.

Handing over the animal and its health record

When an animal changes owner (sale, adoption, gift…), its whole health record can go with it: vaccines, treatments, weight, documents, journal. Open the profile, then the … menu in the action bar and choose Owner (Transfer to an account in the Shelter app). The page shows the Current owner and asks "What would you like to do?". Handing the health record to the buyer (Breeder)

  1. Choose Hand over the record to the buyer.
  2. Enter the buyer's first name, last name and email, their phone number if you like, and a message for the family (optional).
  3. Tap Send the record.

If items from the transfer checklist are missing, the app lists them; you can Hand over anyway if the papers exist outside the app. See Registers and transfers.

The buyer has 30 days to collect the record. In the meantime, a "Record sent — waiting" banner appears on the profile, and you can Resend the email, Change the email or Cancel the handover. Once the record has been collected, the profile shows "Record handed over to …" and you keep read-only access.

Receiving your animal's health record (owner)

If your breeder hands over the record, you receive an email with a link. When you open it:

  • if you don't have an account yet, you create one in a single screen (first name, password, acceptance of the terms);
  • if you already have an account with this address, you log in with your password or a login link sent by email.

The animal then arrives in your space with its whole history. Its profile shows "Born at" followed by the kennel's name. The breeder keeps read-only access, which you can remove at any time from the sharing area.

Transferring to a Son espace santé user

Choose Transfer to a Son espace santé user, then search for the new owner by last name and first name. They must have an account and have turned on the visibility option in their profile, otherwise you won't find them. Confirm the change: the app offers to let you keep read-only access so you can keep following the animal; the new owner can remove it.

If the new owner is a member of an organisation (shelter, breeding kennel…), the animal is automatically transferred to the organisation.
