Shelter

Many people contact the shelter before the animal they are looking for is there: "let me know if you have a kitten", "a small dog that gets on with children". The waiting list keeps these requests and tells you when an animal might match them.

Accessing the waiting list

Open the side menu, Management section, then Waiting list. Requests arrive there from the "Waiting list" block on your website (see Public page and website), after confirmation by email, or are added by hand by your team.

At the top of the page, three counters show the Active requests, those from this week and the Interested people. Filters sort by status (Active, Interested, Reserved, Closed, Pending confirmation, All), by sex and by source (Website or Manual entry).

Adding a request

  1. Tap Add in the action bar.
  2. Enter the contact details: First name, Last name, Email, Phone number, Region (at least a name or an email).
  3. Enter what the person is looking for (see the criteria below), the time frame (Not before, Not after) and a Message.
  4. Save with the save button at the bottom right.

The criteria entered appear as tags on each request ("ok cats", "ok children", "outdoor"…).

Notifying people when an animal becomes adoptable

The app never notifies anyone on its own: your team decides.

  1. Open the animal's profile, then the Adoption section. If requests match, it shows "N person(s) are waiting for an animal like [name]". The Homepage also flags it in the To process block.
  2. Tap Notify.
  3. If you wish, add A word for the families (optional), then tap Send.

Each person receives an email with the link to the animal's public profile and an application already prepared (see Online adoption). A person is never notified twice for the same animal.

The "Tell the shelter you are interested" link in the email switches the request to the Interested status: this is the time to get back in touch with the person.

Sending in bulk with Notify is included in the paid plans.

How compatibility is assessed

It is a simple filter, with no score: matching requests are suggested from oldest to newest.

  • Size is deduced from the animal's latest weight: small up to 10 kg, medium up to 25 kg, large above that.
  • Age: "young" under one year, adult under 8 years, senior after that.
  • Compatibility with cats, dogs or children is compared with the information on the animal's profile: a "caution" mention is not enough.
  • An animal with special needs (senior, ongoing illness, disability, restricted dog breed category…) is only suggested to people who have ticked Accepts an animal with special needs.
  • For the other criteria, information missing from the request or the profile (no weight, no date of birth) does not exclude the request.

Following up and closing requests

Under each request, Call, Write, Edit, Close and Reopen let you follow it up. A request left 90 days without a response is closed automatically; the person receives an email allowing them to reactivate it.

Frequently asked questions

Do breeders' and shelters' requests get mixed up?

No. The shelter's list only contains adoption requests, with its own criteria.

Why does a request stay "Pending confirmation"?

The person has not yet clicked the confirmation link received by email after filling in the form on your website.
