Shelter registers and animal exits
Shelters and pounds keep the same registers as breeders and hand over the same documents when a dog or a cat leaves. The app builds the registers from what you enter, checks the adoption checklist and keeps a record of each animal that has left.
The legal registers
Open the side menu, Organization section, then Registers and obligations.
Health monitoring register
One line per procedure (vaccines, treatments, vet visits…), with dedicated lines for quarantines and neuterings already entered.
Entry and exit register
One line per movement: arrivals, adoptions, transfers to another organisation, deaths and, if you wish, time spent in foster families.
The movements register is built from each animal's status history (see Animal statuses). An animal's register number is also shown on its profile.
- Choose the Period: one year, or Since the beginning.
- Check the number of Lines and any incomplete lines. Tap an incomplete line to open the animal's profile and correct it.
- Tap Generate PDF. The Word button produces an editable version, which is never kept.
The PDFs you choose to keep appear under Kept registers. The register itself can be rebuilt at any time from your data.
Shelter documents
The Shelter documents block shows the status of your pound approval and your ACACED. The RNA number, the pound approval, the ACACED and the official veterinarian fill in the header of your registers.
The Complete my legal information button opens Settings > Legal Information. There you enter in particular:
- the RNA number, which also appears on your tax receipts, and the date in Prefecture receipt dated;
- the Pound approval (number, if applicable) and its expiry date;
- the Foster family departures and returns in the movements register option, on by default: turn it off if you consider foster families to be an extension of the shelter.
Entry and exit scan
The Entry and exit scan card offers Generate the document: a document containing a code to scan to record entries to and exits from the shelter.
The checklist before adoption
Before a dog or a cat leaves, the app checks the required documents. The Departure checklist appears at the Documents step of Prepare the adoption, and in the Hand over the record window of the Adoption section (see Online adoption). It shows Ready to leave or the number of missing documents.
| Line | How to tick it off |
|---|---|
| Identification (microchip) | Enter the microchip on the animal's profile |
| At least 8 weeks old at departure | Calculated from the date of birth |
| Adoption contract (serves as transfer certificate) | Generate: requires an adoption file that has been created or reserved; included in the paid plans |
| Neutered, or signed neutering commitment | A neutering entered in the procedures, or Generate the commitment, have it signed, then Add the commitment |
| Animal information document | Generate |
| Veterinary certificate (less than 7 days old) | Add the certificate; mandatory if an adoption fee is charged, only recommended for a free adoption |
| Primary vaccination entered | Record the vaccine |
| I-CAD change of owner declared | Appears once the handover has been accepted: Record the declaration, with the File number (optional) |
The adoption contract sets out the parties, the animal, the fee and the adopter's commitments (neutering, return to the shelter, follow-up visit). When generating it, you can enter the Sterilization deadline (if not sterilized) and Additional clauses (optional), then choose PDF or Word.
Documents generated as PDF are stored in the animal's documents (the Word version, for editing, is not kept) and accompany the health record handover (see Documents and health record).
Animals that have left
An adopted animal belongs to its new owner and leaves your animal list. To find it: Animals list, … menu in the action bar, Departed animals.
The list can be filtered by year and by type of departure (Adopted, Transferred, Dead), with a search by animal or by owner. Each line opens the Departure record:
- Arrival and Departure dates, Length of stay, Register no.;
- Adoption fee, New owner and I-CAD declaration done on;
- Contracts and documents, Invoices, Agenda during the stay, health (illnesses, procedures, vaccines, weight);
- Status history.
See the full record opens the animal's health record as long as the adopter shares it with you. If they stop sharing it, the departure record keeps the essentials.
Frequently asked questions
Why is a line in the register incomplete?
A piece of information is missing from the animal's profile, for example a microchip or an exit recipient. Tap the line to open the profile and complete it.
The contract's Generate button does not work.
First create or reserve an adoption file from the Adoption section of the profile: the contract needs to know who the adopter is.
