Boarding settings

Boarding

All your boarding facility's settings are grouped on a single page, Settings. Each button opens a short page that handles a single topic, with its own Save button: you always know what you are changing.

Under each button, a line sums up the state of the setting (for example "12 places" or "No deposit"). An orange dot flags a useful setting that has not been filled in yet.

Opening the settings

  • From the menu (icon at the top left), Organization section, tap Settings.
  • You can also add the Settings button to your button bar, at the bottom of the screen, with Customize the bar in the menu.

At the top of the page, you will find your boarding facility's name and the link to your public page, with the Copy the link and Open buttons. If your public page is turned off, a message warns you that owners can neither find you nor send you a request.

The settings are arranged in four groups: My establishment, My pension, Invoicing and payments and Team and account. This page details the My pension group.

Only administrators and members allowed to edit the organisation can change these settings. Other team members can view them read-only: the Save button does not appear for them.

Capacity and places

The number of animals you can take in at the same time. It is used to warn you of overbooking and to show full days on your public calendar.

  1. Open Settings, then Capacity and places.
  2. Enter the Total places.
  3. If you do not have a kennel plan, you can split your places by species under Places per species (optional), for example 8 dogs and 4 cats.
  4. If needed, turn on Allow overbooking (warning instead of refusal).
  5. Tap Save.

Without overbooking allowed, the app refuses to add a stay when there is no place left for the species or in the chosen kennel. With overbooking allowed, it simply warns you.

Tip: if you have drawn your kennels, set each kennel's places from the Day plan instead (see Schedule and logbook). The Set up the boxes in the plan button takes you there.

Kennels and plan

The Boxes and plan button opens the plan editor, where you draw your kennels. Once drawn, each stay can be assigned to a kennel from the Day plan. The plan is optional: a boarding facility without kennels simply works in number of places.

Online bookings

This setting lets owners send you a booking request from your public page, the community map and the directory.

  1. Open Settings, then Online bookings.
  2. Turn on Accept booking requests. A "Request a booking" button then appears on your public page, on the map and in the directory.
  3. Choose whether you want to Allow requests without an account. These people's email address is always verified before the request reaches you.
  4. Enter your Notice period (days): requests whose arrival is sooner than this period are refused automatically. Leave 0 for no notice period.
  5. Tap Save.
Online requests only work if your public page is active. If it is not, a message reminds you with an Activate button.

What happens next (handling a request, offering a stay) is described in Booking requests.

Public calendar

The public calendar shows, on your public page, the animals already booked: only their photo and first name. No information about owners or prices is shown. It stays off until you turn it on.

  1. Open Settings, then Public agenda.
  2. Turn on Public boarding calendar.
  3. Choose whether you want to Show full days on the public agenda.
  4. Tap Save.

For full days and the occupancy colour code to be calculated, your number of places must be entered under Capacity and places. A warning reminds you if it is not.

What visitors see is described in Schedule and logbook.

Prices

The Prices page contains your price list. Entered once, it is used for three things: your clients see an estimate before sending their request, your offer is pre-filled, and the invoice reuses the quote.

1. Your prices

One price per type of animal. For dogs, the price can depend on weight (small, medium, large). When the list is empty, the app suggests starting with:

  • One price for dogs (for example €20 per day);
  • Dogs, by size: one line per size, with the weights to adjust;
  • A price for cats;
  • An extra service (grooming, transport…).

For each price, you choose the animal concerned (or All animals), the service (Stay, Day (day care), Half day, Home visit or Service), an optional weight band, the amount and the unit (per day of stay, per day, per visit, per stay or per service). A stay is counted in days, arrival day and departure day included: arriving on the 1st and leaving on the 3rd means 3 days charged. The Name shown to clients is optional.

The Use this price in quotes and on my website switch lets you keep an old price or a seasonal price without offering it.

2. Discounts and surcharges

Optional, they apply automatically to the quote:

Multi-animal discount

Several animals from the same household: for example −10% from the 2nd animal.

Peak period

High-demand periods: for example +20% during the summer or Christmas holidays. Tick Every year for a recurring period.

Minimum stay

Minimum number of days charged: for example 2 days for a weekend.

3. Online deposit

This block reminds you of your deposit setting. The Pay the deposit button opens the dedicated page (see below).

Testing your prices

The simulator at the bottom of the page calculates the quote your clients will receive: add one or more animals (species and weight), choose the dates and the type of care, then tap Calculate. If no price matches an animal, a message invites you to add a line for that species or weight.

As long as your price list is empty, the Price shown on your page section lets you enter an indicative daily price. As soon as you have entered your prices, your page shows "from" your lowest daily price.

Online deposit

The deposit makes a booking firm: when the owner confirms the offer, they receive a payment link. The booking becomes firm once the deposit is paid; otherwise it is cancelled after the deadline and the place is released.

  1. Open Settings, then Online deposit.
  2. Choose No deposit, Percentage of the quote or Fixed amount.
  3. Enter the value, then the payment deadline in hours (72 hours by default, between 12 hours and 14 days).
  4. A sentence sums up what the owner will see. Tap Save.
The online deposit is included in the plans that collect payments online, and requires your online payment account to be connected. Otherwise, a message invites you to set it up (see Online payment).

Required vaccines

Here you set the vaccines you require for each species. They are checked 7 days before each stay and on arrival, on the health record when the owner shares it, otherwise on a photo of the record. The vaccine must be valid for the whole stay: its validity comes from the health record (product, primary course or booster), so you have no duration to set.

Requirements are suggested by default: DHPPiL and kennel cough for dogs, feline panleukopenia (typhus) and cat flu (coryza) for cats.

  1. Open Settings, then Required vaccinations.
  2. To add a requirement, tap Add, choose the species and enter the name of the vaccine.
  3. To remove one, tap the bin icon.
  4. Tap Save.
Tip: for a requirement you add, the name entered is also used to find the vaccine in the health record. Choose a short name, as it usually appears on the record (for example "Rabies").

Automatic vaccine checking is included in the paid plans. How the check on arrival works is described in Stays, arrival and departure.

Stay logbook

The stay logbook lets you post photos and a few words during the stay: the owner sees them on a page without needing an account and can reply to you. It is on by default.

  1. Open Settings, then Stay journal.
  2. Leave Stay journal enabled on, or turn it off if you do not wish to use it.
  3. Write the Welcome text of the stay page, for example: "We send news every evening. Feel free to reply!".
  4. Tap Save.

Posting day to day is explained in Schedule and logbook.

Boarding documents

The Pension documents button opens your organisation's documents.
